MSP Appointment Setting Software That Books Discovery Calls
Sdrs is an AI SDR that does MSP appointment setting as software. Describe the businesses you want to support, such as 20 to 150 seat medical, legal and accounting offices within 40 miles, and it finds the owner or office manager, sends the outreach, answers replies and puts discovery calls on your calendar.
Plans from $49/month. Monthly billing, no per-appointment fees, cancel anytime.

The short answer
MSP appointment setting is the work of turning a list of small and midsize businesses into booked discovery calls with the person who decides on IT support. Managed service providers usually buy it from an agency on a retainer (published packages run about $5,250 to $9,250 a month for 4 to 12 appointments) or pay per held meeting.
Sdrs does the same job as software for $49 to $499 a month. It builds the prospect list from a B2B database, writes and sends email and LinkedIn sequences, handles replies and books the meeting on your calendar, with no minimum term and no fee per appointment.

Why MSP appointment setting is hard to buy well
The business owner you want already has an IT provider, or a nephew who handles it. A booked call only matters if that person has a reason to switch and the authority to sign.
Example week of booked MSP discovery calls
- Mon 9:00 Discovery call, dental group Practice administrator, 4 locations, 62 seats, current provider slow on tickets
- Tue 2:30 Network assessment, law firm Managing partner, 35 seats, cyber insurance renewal asks for MFA and backups
- Wed 11:00 Intro call, CPA firm Firm administrator, 28 seats, written security plan due before tax season
- Thu 4:00 Co-managed IT call, manufacturer Operations director, 140 seats, one internal IT person stretched thin
Illustrative example of how booked MSP appointments appear on your calendar. Not customer data.
Most MSPs grow on referrals until the referrals flatten. The owner is also the best salesperson and the senior engineer, so prospecting happens in the gaps between escalations, which means it does not happen. Appointment setting exists to fill that gap, and that is why so many agencies sell it to this industry.
The trouble starts with how it is sold. A retainer buys caller hours, and a per-appointment plan pays for a calendar entry, so neither is priced on what you need, which is a first conversation with a decision maker who has an open IT problem. Shops that have been burned describe the same pattern: meetings with a receptionist, a company of six seats, or an owner who agreed to a call to get off the phone.
Timing is the other half. A business changes IT providers when a contract comes up, an outage hurts, an insurance questionnaire arrives or a compliance deadline lands. You cannot know which month that is, so the only reliable approach is to stay in front of a defined list all year. That is repetitive, rules-based work, and it is the part software now does well.
MSP appointment setting, handled end to end
One platform covers the list, the outreach, the replies and the calendar. You show up for the call.
A list built to your seat count and radius
Target by industry, headcount, state or metro and title: owner, managing partner, practice administrator, office manager, COO, controller. Verified emails are included, so there is no separate data subscription to buy.
Outreach that names a real IT trigger
The AI researches each company and writes a first message around something specific, such as a new office, fast hiring, a cyber insurance renewal or a rule like HIPAA or the FTC Safeguards Rule. You approve the sequence before it sends.
Email, LinkedIn and calls in one sequence
Sequences run up to 7 steps and branch on behavior. Email is on every plan, LinkedIn and X messaging start on Plus, and Pro adds an AI voice agent for phone follow-up.
Replies handled and calls booked
When a prospect answers with interest, Sdrs replies, offers times and sends your calendar link. Not-now and out-of-office replies are sorted and followed up later without anyone on your team opening the inbox.
Your sending domain stays protected
Mailbox warm-up, sending limits, SPF, DKIM and DMARC checks, unsubscribe handling and a do-not-contact list keep outreach within CAN-SPAM and away from the domain your clients see on tickets and invoices.
Every appointment traced to a campaign
Two-way sync with HubSpot, Salesforce and Pipedrive on Plus and above. Reply and meeting rates are reported per campaign, so you can see which vertical and which offer books calls.
How MSP appointment setting works in Sdrs
Four steps from a blank account to discovery calls on the calendar. Most MSPs launch a first campaign the same day.
Define the client you want more of
Start from your best accounts: vertical, seat count, distance from your office, and who signed the agreement. One campaign per vertical keeps the message specific.
Pick an offer worth 20 minutes
A network and security assessment, a cyber insurance readiness check, a second opinion on the current IT bill, or a Microsoft 365 licensing review. A concrete offer books more calls than a capabilities pitch.
Approve the sequence
Sdrs drafts the emails and LinkedIn steps for each prospect. Edit the templates, set daily volume per mailbox and launch.
Take the discovery calls
Interested replies are answered and booked on your calendar. Meetings and contacts sync to your CRM, and prospects who said not now stay in a slower follow-up.
Which MSPs use software for appointment setting
The common thread is a recurring contract worth tens of thousands of dollars over its life, sold to an owner who was not shopping this week.
Owner-led MSPs under $2M
Shops where the owner still sells. Software keeps prospecting running during a busy service week, for less than one hour of a senior engineer's billable time each month.
MSPs with a first sales hire
An account executive closes better than they prospect. Feeding that person booked calls keeps them on discovery meetings and proposals.
Vertical specialists
Providers focused on healthcare, legal, accounting or financial advisors, where compliance language in the first line of the message earns the reply.
MSPs adding security services
Providers selling managed detection, security awareness training or compliance programs to businesses that already have basic IT support.
Co-managed IT providers
Teams that work beside an internal IT manager at 100 to 500 seat companies, where the buyer is an IT director or operations leader.
MSPs leaving an agency retainer
Shops that paid for a multi-month appointment setting program and want the same activity under their own control, on a monthly bill.
MSP appointment setting services vs an SDR hire vs Sdrs
These are the three ways MSPs get discovery calls booked. Agencies give you a human caller, which some buyers respond to, so the right choice depends on your budget and how much control you want.
| Appointment setting agency | In-house SDR | Sdrs AI SDR | |
|---|---|---|---|
| Typical cost | $5,250 to $9,250 per month for 4 to 12 appointments (published MSP packages) | About $114,000 per year fully loaded, before tools | $49, $149 or $499 per month |
| Cost per appointment | Roughly $770 to $1,300 at those package sizes | Depends on ramp and tenure | No per-appointment fee |
| Commitment | Usually a multi-month retainer | Employment, plus about a 3 month ramp | Monthly, cancel anytime |
| Channels | Mostly phone, some email | Whatever the rep has time for | Email on every plan, LinkedIn and X on Plus, AI calls on Pro |
| Who owns the list and replies | Varies by contract, often the agency | You | You, synced to your CRM |
| Time to first outreach | Weeks of onboarding and script work | Recruiting plus ramp | Same day |
| Best for | MSPs that want live callers and have the budget | Larger MSPs with a sales manager to coach | MSPs that want steady discovery calls without a retainer |

How much does MSP appointment setting cost?
MSP appointment setting costs $3,000 to $10,000 a month from an agency on a retainer, a few hundred dollars to more than $1,000 per held meeting on a pay-per-appointment plan, or $49 to $499 a month as software you run yourself. Published MSP packages from one large agency run $5,250 to $9,250 a month for 4 to 12 appointments, which is roughly $770 to $1,300 per appointment.
General B2B programs cost more. A dedicated outsourced SDR with a full support team is listed at $11,950 per four weeks by one US provider, which we break down in our SalesRoads pricing article. Whatever the model, annualize it before you compare. A $7,000 retainer with a six month minimum is a $42,000 decision, and you make it before the first call is held. For published prices across more providers, see our appointment setting services cost comparison.
What counts as a qualified MSP appointment?
A qualified MSP appointment is a scheduled call or visit with a person who can sign a managed services agreement, at a company inside your seat range and service area, who has agreed to talk about IT support. Write that definition down before you pay anyone, because the definition decides what you are billed for.
A workable standard has four parts:
- Seat count. A floor and a ceiling, for example 15 to 150 users, so you are not driving to a three person office.
- Role. Owner, partner, practice administrator, COO, controller or IT director. An office manager counts only if the owner joins the call.
- Location. Inside the radius you can serve on site, or any US location if you deliver remotely.
- Stated reason. A contract date, a complaint about the current provider, an insurance or compliance requirement, or a project such as an office move.
With an agency, the same list should define which meetings are replaced at no charge when they miss the standard. In Sdrs, the first three are filters on the lead search, and the fourth comes from the offer in your sequence, so prospects who reply have already raised their hand for that reason.
Should an MSP outsource appointment setting or do it in house?
Outsource appointment setting when you want live phone conversations, have $5,000 or more a month to commit for at least a quarter, and have nobody to manage the work. Keep it in house, with software or a hired rep, when you know your target client well, want to own the list and the replies, and need to start or stop within a month.
Many MSPs land in between. They run email and LinkedIn outreach on software all year to cover the whole target list, then add callers for a short push into the accounts that opened and clicked but did not reply. That keeps the expensive human hours on warm names. If you are weighing the wider program beyond booking, our MSP lead generation page covers list building, channels and cost per lead, and the outsourced SDR companies comparison lists what agencies charge.
Questions to ask an MSP appointment setting company before you sign
If you do go with a service, eight questions separate a good contract from an expensive one:
- What is the minimum term, and what does it cost to leave early?
- Is the price per month, per four weeks or per appointment? Four week billing means 13 invoices a year.
- How do you define a qualified appointment, and are no-shows and unqualified meetings replaced?
- Are the callers dedicated to my account or shared across clients?
- Who owns the prospect list, the recordings and the reply history when the contract ends?
- Which domain and phone numbers does outreach come from, and who is responsible for their reputation?
- How many MSPs in my metro are you working with right now?
- Can I see activity weekly, down to dials, emails, replies and meetings held?
The same questions apply to software, and the answers are simpler. Sdrs bills monthly, has no minimum term, sends from your own mailbox, and the list and replies stay in your account and your CRM.
What to offer on the first call
The offer in the outreach decides how many calls get booked, more than the channel or the script. Offers that work for managed services give the prospect something concrete and low risk: a network and security assessment with a written summary, a review of the cyber insurance questionnaire before renewal, a second opinion on the current IT invoice, or a backup and recovery test.
Match the offer to the vertical. Accounting and tax firms respond to the FTC Safeguards Rule and its written security plan. Medical and dental practices respond to HIPAA risk assessments. Law firms respond to client security questionnaires and insurance requirements. Run each as its own campaign so the first line speaks to one audience. After the call, some MSPs send prospects a short readiness questionnaire, and a tool that scores an organizational assessment automatically can turn those answers into the talking points for your proposal.
MSP appointment setting, common questions
MSP appointment setting is the process of contacting small and midsize businesses and booking discovery calls between their decision maker and a managed service provider. It covers building the prospect list, outreach by phone, email or LinkedIn, handling replies, and scheduling the meeting. MSPs buy it from agencies, assign it to a sales development rep, or run it on software such as Sdrs.
It depends on your market, offer and volume, so no honest provider can promise a number in advance. Published agency packages for MSPs are sized at 4 to 12 appointments a month. With software, volume follows how many prospects you contact and how specific the offer is, and you see every reply and booked call yourself.
Pay-per-appointment lowers your risk on volume but raises it on quality, because the provider is paid for the calendar entry and not for fit. It works when the contract defines a qualified appointment by seat count, role and location, and replaces meetings that miss. A retainer pays for effort. A flat software fee removes the per-meeting cost entirely.
Email outreach is included on every plan, LinkedIn and X messaging start on the Plus plan at $149 a month, and the Pro plan at $499 a month adds an AI voice agent for calls. Many MSPs start with email and LinkedIn, then add calling for prospects who engaged but did not reply.
Sdrs syncs two ways with HubSpot, Salesforce and Pipedrive on the Plus plan and above. Most MSPs keep sales activity in one of those CRMs and service delivery in their PSA. On the Pro plan, API access lets you push booked meetings and new opportunities into other systems.
Messages go out from your own mailbox and your own LinkedIn profile, written from each company's details instead of a fixed template. You approve the sequence before launch and can edit every step, so the outreach reads the way you would write it with time to research each prospect.
No. Sdrs is billed monthly with no setup fee and no minimum term, and you can cancel at any time. Annual billing is available at a lower monthly rate if you prefer it. Plans are Starter at $49, Plus at $149 and Pro at $499 a month.
